Whitegold Photography (Pty) Ltd trading as Whitegold Media (“WGM”, “we”, “us”, “our”).
This Privacy Policy explains how WGM collects, uses, shares, and protects personal information in line with the Protection of Personal Information Act, 2013 (“POPIA”). It applies to visitors to whitegoldmedia.co.za, to clients and prospective clients, and to individuals who appear in the photography and video we produce. By using our website or engaging our services, you acknowledge the practices described here.

2. The information we collect
Enquiry & contact details — name, work email, company, phone or WhatsApp number, and the event or project details you submit through our enquiry form or by email.
Client & billing information — information needed to quote, contract, invoice, and deliver a project.
Images and footage — photographs and video of people, venues, products, and events captured during an assignment.
Website & technical data — limited technical information such as IP address, browser type, and pages viewed, used to keep the site secure and working. We collect this only as needed and do not use intrusive tracking.
3. How we collect it
We collect personal information directly from you — when you complete the enquiry form, email or message us, or engage us for a project — and during a shoot, where images and footage are captured. Where information is collected about individuals other than the client (for example, guests or talent at an event), the client is responsible for ensuring those individuals are informed and, where required, have consented (see Clause 24 of our Terms & Conditions).
4. Why we use it
To respond to enquiries and provide quotations.
To plan, produce, edit, and deliver the services you engage us for.
To manage bookings, invoicing, and our client relationship.
To use selected work for our own promotional, marketing, portfolio, and editorial purposes, as set out in our Terms & Conditions, unless a written confidentiality arrangement applies.
To keep our website and systems secure, and to comply with our legal and tax obligations.
5. Our lawful basis
We process personal information where it is necessary to conclude or perform a contract with you, to pursue our legitimate business interests in a balanced and reasonable way, to comply with the law, or on the basis of consent where consent is required. Where we rely on consent, you may withdraw it at any time, without affecting processing already carried out.
6. Sharing your information
We do not sell your personal information. We share it only as needed to deliver our services:
Subcontractors and crew — stylists, assistants, second shooters, and editors working under our direction and bound by confidentiality.
Service providers — our delivery platform, secure file hosting, email, and our customer/CRM system used to manage enquiries.
Professional advisors and authorities — where required by law or to establish, exercise, or defend legal rights.
7. Images, footage & your likeness
Photographs and video we create are retained as part of WGM’s archive and may be used as described in Clause 15 of our Terms & Conditions, unless a written confidentiality arrangement applies. If you appear in our work and wish to request that a specific image not be used in our marketing, contact our Information Officer and we will consider the request, subject to any contractual commitments already in place.
8. Security
We take reasonable technical and organisational measures to protect personal information and captured material, including secure delivery links, access controls, and backup systems. No method of transmission or storage is completely secure, but we work to safeguard your information against loss, misuse, and unauthorised access.
9. Retention
We keep personal information only for as long as necessary for the purposes set out here, to meet legal and accounting requirements, and to maintain our creative archive. Project images and footage are retained as part of that archive unless a confidentiality arrangement provides otherwise.
10. Your rights under POPIA
Subject to the limits of the law, you have the right to:
Request access to the personal information we hold about you.
Request that we correct or update inaccurate or incomplete information.
Request deletion of your information where we are no longer entitled to retain it.
Object to processing in certain circumstances, and withdraw consent where we rely on it.
Lodge a complaint with the Information Regulator (South Africa).

11. Cookies & analytics
Our website uses only the cookies and limited technical data necessary for it to function and remain secure. If we introduce analytics or marketing cookies in future, we will update this policy and, where required, request your consent.
12. International transfers
Where information is processed or stored outside South Africa by a service provider, we take reasonable steps to ensure it receives a comparable level of protection, in line with POPIA.
13. Children
Where work involves a minor, the client is responsible for obtaining consent from a parent or legal guardian before the shoot and for any release required for the use of that work.
14. Changes to this policy
We may update this Privacy Policy from time to time. The current version is published at whitegoldmedia.co.za/privacy. Material changes will be reflected by the “Last updated” date above.
